Turn Payment Vouchers into Ready-to-Print Cheques with EasyCheck

Most UAE finance teams already produce a payment voucher before they issue a cheque — and then type the same beneficiary, amount and date into the cheque all over again. EasyCheck removes that second step. Upload the voucher, and the cheque details are read straight off it, ready for you to check and print onto your own bank cheque leaf.

How do I print a cheque from a payment voucher?

In EasyCheck, go to Bulk Cheques → Scan Voucher, select the bank account and upload your payment voucher as a PDF, PNG or JPEG. EasyCheck reads the beneficiary name, amount and cheque date from the voucher and stages a cheque with those details filled in. You review the entry, then print it onto your own bank cheque leaf. Upload a multi-page PDF and every voucher inside it becomes its own cheque. Payment Voucher Scanning is part of EasyCheck cheque printing software on the Business Plus and Premium plans.

The re-typing problem

In most UAE businesses the payment voucher comes first. Accounts prepares it, someone approves it, and only then is a cheque written. By that point every detail you need already exists on paper: who is being paid, how much, and on what date.

Typing it again is where things go wrong. A digit transposed in the amount, a supplier name spelled two different ways, a date copied from the wrong line. Each one means a cheque that has to be cancelled and reissued — and in a supplier run of forty cheques, the odds of at least one mistake are high.

Voucher scanning closes the gap between the document you already have and the cheque you need to print.

The workflow, end to end

Step 1

Payment voucher

Upload a PDF, PNG or JPEG — one voucher, or a multi-page PDF of several.

Step 2

EasyCheck scans it

Beneficiary, amount and cheque date are read from each voucher.

Step 3

You verify

Every entry is staged for review. Correct anything before creating it.

Step 4

Cheque prints

Print onto your own bank cheque leaves in your saved template layout.

Nothing prints automatically. The extraction fills the cheque in for you; the decision to create and print it stays with your team.

Print from a voucher in 5 steps

  1. 1

Open Bulk Cheques and choose Scan Voucher

In EasyCheck, go to Bulk Cheques and select the Scan Voucher option, then choose the bank account the cheques will be drawn on.

  2. 2

    Upload your payment voucher

Upload the voucher as a PDF, PNG or JPEG (up to 10 MB). You can upload a single voucher or a multi-page PDF containing several vouchers.

  3. 3

    EasyCheck extracts the cheque details

The beneficiary name, amount and cheque date are read from each voucher and staged as a cheque entry. Cheque numbers are generated in sequence and the amount in words is filled in automatically.

  4. 4

Review and correct the staged entries

Check the extracted beneficiary, amount and date in the staging grid. Edit anything that needs adjusting before you create the cheques.

  5. 5

    Create and print the cheques

Create the staged entries, load your bank cheque leaves into a standard laser printer, and print. Each cheque prints in your saved template layout for that bank account.

One PDF, many vouchers

This is where the time saving becomes obvious. If your month-end supplier run is exported as a single PDF with one voucher per page, you do not upload them one at a time. Upload the whole PDF and EasyCheck processes each voucher separately — every page becomes its own cheque entry in the staging grid, with its own beneficiary, amount and date.

From there it behaves like any other batch: review the grid, fix anything that needs fixing, create the cheques and print the run. Cheque numbers are sequenced automatically across the batch for the bank account you selected, so you are not tracking numbers by hand.

If you are already printing batches, this sits alongside the other bulk cheque printing methods — Excel import, paste from Excel, copying an earlier batch, or generating a recurring series. See also how UAE companies print 200+ cheques in minutes.

What to verify before printing

Extraction is a head start, not a substitute for a second pair of eyes. Before you create the batch, check:

  • The beneficiary name — that it matches the payee exactly as the bank expects it
  • The amount — against the voucher, and that the words line matches the figure
  • The cheque date — particularly for post-dated cheques, where the date carries the payment terms
  • The bank account — that the batch is drawn on the account you intended
  • The starting cheque number — that it matches the next leaf in your cheque book

Scans of poor-quality or heavily stamped vouchers are the most likely to need a correction, which is exactly why the staging grid exists.

A clean export from your accounting system reads more reliably than a phone photo of a printed voucher. If you are scanning paper, scan straight and at a readable resolution.

Who this is for

Voucher scanning pays for itself fastest in businesses where a voucher already precedes every cheque and the volumes are meaningful:

  • Trading and distribution — monthly supplier payment runs
  • Contracting and construction — subcontractor and material payments against approved vouchers
  • Property and facilities management — recurring service-provider payments
  • Any finance team where a voucher is approved before a cheque is written

If your team writes five or more cheques a month from vouchers, the re-typing step is worth removing.

FAQ: Printing Cheques from Payment Vouchers

Q1: Can EasyCheck print cheques directly from a payment voucher?

Yes. In Bulk Cheques, choose Scan Voucher and upload your payment voucher. EasyCheck reads the beneficiary name, amount and cheque date from the voucher and stages a cheque with those details filled in. You review the entry, then print it onto your own bank cheque leaf.

Q2: What details does EasyCheck extract from a payment voucher?

Three fields are extracted automatically: the beneficiary (payee) name, the amount, and the cheque date. The cheque number is generated in sequence for the bank account you selected, and the amount in words is produced automatically from the figure.

Q3: Can I upload one PDF containing several payment vouchers?

Yes. Upload a multi-page PDF and EasyCheck processes each voucher in it separately — every voucher becomes its own cheque entry in the staging grid. This is how finance teams turn a full supplier payment run into a batch of cheques in one upload.

Q4: What file types and sizes can I upload?

You can upload PDF, PNG or JPEG files, up to 10 MB per upload. A clear scan or an exported PDF from your accounting system works best — the sharper the document, the cleaner the extraction.

Q5: Do I have to check the extracted details before printing?

Yes, and you should. Every extracted cheque appears in the staging grid before anything is printed, so you can review the beneficiary, amount and date and correct anything that needs it. Nothing prints until you choose to print it.

Q6: Which EasyCheck plan includes payment voucher scanning?

Payment Voucher Scanning is available on the Business Plus and Premium plans. Business Plus is a one-time AED 1,200 licence for 3 years, with no monthly fees.

Q7: Does this work with vouchers from my accounting software?

Yes. Any payment voucher you can export or print as a PDF or image can be uploaded — including vouchers from accounting systems. If you use Zoho Books, EasyCheck can also sync payment vouchers directly through the integration.
